
How to Create a Travel Proposal Quickly Using a Template for Travel Agents

Let’s be honest, creating a travel proposal from scratch every time? Not exactly the dream. As a travel agent, your time is precious, and your proposals should feel as professional and polished as the trips you’re planning!
That’s where templates come in.
With the right template, you can put together a client-ready proposal in under 30 minutes! And get this, it would be without design stress and formatting headaches. Just a clean, beautiful proposal that helps you show up like the pro you are.
Here’s how to do it:
1. Start With the Right Template
Pick a proposal template that fits the kind of trip you’re planning. This could for example be: general, resort, cruise, honeymoon… whatever your client needs. 2. Customise the Details in Canva
Open your template in Canva (the free version works perfectly!) and start customising. You can adjust everything to make it exactly the way you like.
• Update the client’s name and travel dates
• Adjust the itinerary and destination info
• Add the different details for the trip
• Change the colours, fonts, and photos to match your brand
Since everything’s already laid out for you, it’s just a matter of filling in your info and giving it your personal touch. Of course, you are still able to adjust the layout as well, but you will not have to start from scratch!
3. Make it yours
Templates are designed to help, but your expertise is what brings them to life. Add in a short note about why you’re recommending this destination, highlight a favorite activity, or include helpful extras like:
• Travel insurance details
• Add-ons or upgrades
• A “Next Steps” section so clients know what to do next
Small touches like these show that you’ve taken the time to personalise the experience, and that goes a long way! The extensive proposal templates already include most of the bullet points listed above, the short ones do not. However, you can also get templates for these seperately!
4. Download, Send, and Done!
Once everything looks just right, download your proposal as a PDF and send it off to your client. In such a quick time, you’ve created a beautiful, professional proposal that’s ready to impress your clients and get those trips booked!
